The Seneca County General Health District is the main place to get death certificates in Seneca County. The office is at 71 South Washington Street, Suite 1102, in Tiffin, Ohio 44883. Call 419-447-3691 ext. 6300. Fax requests go to 419-448-5782. You can also email vitalstats@tchdnow.org. The registration district number is 7400.

Office hours are Monday through Wednesday and Friday from 8:00 AM to 4:00 PM. Thursday hours run later, from 8:00 AM to 6:00 PM. That extra time on Thursdays is helpful if you work a standard shift and need to visit after hours. Each certified death certificate costs $25.00. The office takes cash, check, money order, and debit or credit cards. Credit card payments carry an extra processing fee. In-person requests take about 15 minutes. Cash or money order is the only way to pay at the counter.

Seneca County death certificates are only issued for deaths that happened in the county. If the person died somewhere else in Ohio, contact that county's health department or the Ohio Department of Health. Birth certificates, on the other hand, can be issued for anyone born anywhere in Ohio. They come as certified abstracts unless you need a full copy for dual citizenship, international legal proceedings, or genealogy research.

How to Get Seneca County Death Certificates

There are four ways to order a death certificate in Seneca County. Each costs $25.00 per certified copy.

The online ordering system at senecaoh.permitium.com lets you order from home. You pay with a credit or debit card. There is a $5.00 service charge plus a credit card processing fee on top of the $25.00 base cost. The office mails the certificate to you, and processing takes about two business days. Allow seven to ten business days for return mail.

Phone orders work too. Call 419-447-3691 ext. 6300 during business hours. You need a debit or credit card. The certificate ships by regular mail. For mail requests, fill out the Death Certificate Application, include a check or money order for $25.00 payable to the Seneca County General Health District, and send it with a self-addressed stamped envelope to the office at 71 South Washington Street, Suite 1102, Tiffin, OH 44883.

Under Ohio Revised Code Section 149.43, death certificates are public records. Anyone can get a copy. All sales are final and non-refundable. The health district is not responsible for lost, stolen, or undelivered orders.

Seneca County Probate Court Death Records

The Seneca County Probate Court holds birth and death records from 1867 to 1908. The court is at 103 East Market Street, Suite 301, in Tiffin, Ohio. Call 419-447-3121. These older records are being microfilmed and scanned, so they may not always be available. Check ahead before you visit.

To request a historical record, send a written request to Seneca County Probate, 103 East Market Street, Tiffin, OH 44883. The search fee is $5.00 and covers up to five names. Photocopies cost $0.05 each. Certified copies are $1.00 each. Include a phone number or email address with your request. The court does not have a genealogical researcher on staff, but they do accept written requests for family history research. Birth records from after 1908 must be obtained from the health district instead.

The probate court also holds marriage records from 1841 to the present, naturalization records from 1834 to 1930, and all estate indexes from the 1840s onward. These can be useful for genealogy work in Seneca County.

Seneca County Death Records and Ohio Law

Ohio Revised Code Chapter 3705 governs death records statewide. Section 3705.16 says every death must be registered with the local registrar. The funeral director files the certificate. A physician or coroner fills in the medical part within 48 hours. Section 3705.07 requires the registrar to number, sign, and copy each certificate before sending it to the state.

The social security number on a Seneca County death certificate is hidden for the first five years after death. Under Section 3705.23, only authorized requestors can get the SSN during that period. That includes the spouse, a lineal descendant, an executor, an attorney, a funeral director, a government investigator, a private investigator, a veteran's service officer, or an accredited media member. You must show proof of your status. After five years, the full record is open to anyone.
