The Mercer County Health District handles all death certificate requests for the county. The office is in Celina. Call 419-586-3251, Option 3, to reach the vital statistics division. You can also email vitals@mchdohio.org. Office hours are Monday through Friday, 7:30 AM to 4:00 PM. Each certified copy costs $30.00. Payment options include cash, personal checks, money orders, and credit or debit cards. A convenience fee applies for card payments.

How to Order Mercer County Death Certificates

Mercer County gives you four ways to get a death certificate. The fastest is to walk in during business hours. Bring the name of the deceased and the date of death. Staff can look up the record and print a certified copy.

For online orders, use the Permitium portal. The system launched in May 2021. It processes orders Monday through Friday from 7:30 AM to 4:00 PM. You pay by credit or debit card, and a convenience fee is added. Priority and overnight shipping are available if you need the certificate fast. You can also order by phone through VitalChek, which adds its own service fee.

Mail orders work too. Print the vital statistics request form from the health district website. Fill it out, include your payment and a self-addressed stamped envelope, and add your phone number. Mail it to the Mercer County Health District in Celina. Under Ohio Revised Code Section 149.43, death certificates are public records. You do not need to prove a family tie or explain why you want the record.

Mercer County Death Records for Genealogy

The health district offers genealogy research services. Birth and death records are available on computer in the office. Staff will search records during working hours as time allows. Extensive searches may take longer. The first 20 pages of copies are free. After that, the charge is $0.05 per page. Mail requests for genealogy are accepted if you include a self-addressed stamped envelope.

If you need a legal document rather than a research copy, the district will issue a state certified copy at the current $30.00 rate. For records before 1908, contact the Mercer County Probate Court at 419-586-8779. The probate court holds birth and death records from 1867 to 1908. These early records were kept before Ohio started its statewide system, so the level of detail can vary from one record to the next. Mercer County Death Records Laws

Ohio Revised Code Chapter 3705 sets the rules for vital records across the state. Under Section 3705.16, every death must be registered with the local registrar. The funeral director files the certificate and collects personal details from the family. The doctor or coroner completes the medical section within 48 hours.

The fee floor comes from Section 3705.24. Fees cannot be less than $12.00. Mercer County's $30.00 rate is at the higher end for Ohio. Part of each fee goes to the state. The social security number is hidden for the first five years after death unless you qualify as an authorized requestor under Section 3705.23. Falsifying a vital record is a crime under Section 3705.29.

Burial permits cost $3.00 in Mercer County. Under Section 3705.17, no burial or cremation can happen until the registrar issues the permit, and the permit cannot be given until the death certificate is filed.
